Vote: to change our legal address from Lengveld 2 Bus 12,  Berchem, Atwerp BE 2600 to Engelse Wandeling 76, B-8510 Kortrijk,Belgium.  

We are changing the address to our accountants at The Alaska Group  who are a legal registered agent, so they can accept mail and tax documents on our behalf.  

Result: Motion passed.

Google Docs

We began using GoogleDocs, we have a lot of collaboration on documents which we can share through GoogleDocs.  We can also share with the entire Association.

We are building an employee handbook, basic static information.  We are also using DropBox.  Drop Box is used for permanent and static data.  Right now there are a lot of legal documents. 

IRS

We have received our challenge letter, saying we are not a 501c3.  We have written a response saying that we benefit the public, the industry and to educate the public about Drupal.  We are filing our first 990.  We did our taxes as if we are a non-profit.  

Finance Update

DrupalCon Inc we have just about 575,000 USD.  Drupal VZW 200,000 Euros.

DrupalCon Copenhagen update

We have 300,000 booked Euro, we need to raise revenue or we will exhaust our funds.  Copenhagen needs to break even or make some money.  As of now we are not meeting those needs.  Ticket sales are low. Sponsorships are a problem.  We are increasing marketing, we need more hands on deck with that for both ticket sales and sponsorships.  We are also looking for a longer term position for the person who is responsible for sponsorship.

Neil: What is the target attendance for DrupalCon Copenhagen

Jacob: 800 is the target, right now we are at 412.

Concern that we are not doing much

We are focused on only a few items, mainly the Redesign.  We are taking risks and we are paying out well over a million dollars in liabilities so we are doing a lot.

DrupaCon Chicago

Tiffany and George:

Planning to do a Drupal Business Track in the exhibit hall.  The goal would be that it would be free.  Were going to have food and beverages and an arcade to draw people to it.  Its getting hard to accommodate people in terms of our size.  

Programming:

Session Curation and submission

Effort to significantly increase the quality of sessions and speakers.  One initiative is to invite big-name speakers and announce the speakers beforehand.  Work more closely with speakers before the conference to make sure they are on track.  On-site there will also be a green room where speakers are required to check-in. 

registration and ticketsales

Onsale date will be oct. 15th, that way we will have a 3rd of the sessions to announce.  

DrupalCon Website Problems

Currently it is not meeting the needs of the local teams or the Association.
